Contacts Management


The integrated contacts management system is designed to be both an address book and a repository for potential clients.  As an address book CiMS records all relevant data, including title, position, address, as well as new media details such as websites, emails, Skype, Facebook, Twitter and Instagram. CiMS also provides the ability to classify both companies and individual contacts. Tags, representing groups, can be assigned for use in targeted sales, marketing and publicity campaigns.  Tags can be given to companies (company tags) or to individual contacts (contact tags) and used to create mailing lists.

The integrated file system can be used to store digitised material. Documents, project plans, images and call sheets can be uploaded and indexed by job, artist, or client. Once stored, files are easy to find and can be accessed by Internet connected devices, subject to user access rights.

CRM (Customer Relationship module)


CRM (Customer Relationship module)


In CiMS the CRM is used to capture and store information that relates to clients and represented artists, helping to provide a holistic view of both.  This includes fee activity dates from jobs (shoot, research, travel, pre-production, post-production etc.), diary events, meetings, notes, as well as details of the circulation and viewings of artist books and portfolios. The CRM provides a single reference point for past, current, and future activities.

Calendar


Calendar


CiMS does not have a calendar of its own, but feeds information to customer staff calendars by subscription. This enables staff to carry on using their corporate diaries and have access to all events in CiMS. Customer staff can choose to view CiMS calendar events by client, by artist, by member of staff creating the event, or a combination of these.

Multiple Sites


Multiple Sites


CiMS can be used by a single person working alone, by many users working concurrently in one or more offices, or in companies with offices in multiple countries and time zones. Subject to licensing there is no limit to the number of concurrent users.  Where customers have multiple sites, CiMS can be configured in such a way as to provide each unit, department or office with its own branding, for example the inclusion of department names as well as varying headers, body text and footers.

Multi-Currency


Multi-Currency


Transactions can be carried out in any currency. To facilitate this, CiMS customers use exchange rate tables, one for each country for which there is an office.  For example the New York office will have a US dollar to Euro rate and the Paris office will have a Euro to US dollar rate.  All exchange rate tables are updated using figures from the European Central Bank.

User Access


User Access


Not all users will need to access all features within CiMS, and in larger offices where work is specialised it maybe important to restrict access to some functions. The CiMS “Roles and Permissions” module enables customers to control staff access to the various parts of CiMS. Local administrators can create user groups and grant each group access to specific features, for example creating jobs, sending estimates, billing and contact management. 

 

Access restrictions can be applied so that staff can only see their own jobs or those of a specific group. This is useful for customers who employ free lancers or staff who work remotely, where the negotiation of jobs is sub-contracted and client confidentiality needs to be enforced.

Audit Log


Audit Log


For added security all activities carried out within CiMS are recorded in an audit log. This is typically accessible by the local system administrator.

System Management


System Management


The management module allows the local administrator(s) to configure and maintain the system. This includes creating users, assigning them to groups, setting their access rights, populating pick-list (e.g. fees and expenses) and access to all system variables.

CiMS uses the latest Amazon cloud technology to provide a robust and secure platform. Multiple mirrored servers, distributed databases, computers with spare capacity and daily backups ensure the system is resilient and fault tolerant, and always accessible. The use of secure servers and encryption mean customer data cannot be accessed by 3rd parties.
